Applicable to Regulated Qualifications (VTCT, Focus Awards, ProQual) & Non-Funded Short Courses
1. Introduction
1.1 These Terms & Conditions apply to all training courses delivered by Kneads Training Academy (“Kneads”, “we”, “our”, or “the Provider”).
1.2 By enrolling onto any course, you (“the Learner”, “Student”) agree to be bound by these Terms & Conditions.
1.3 Kneads reserves the right to amend these Terms at any time. Updated versions will be published on our website and, where appropriate, communicated directly to learners.

SECTION A: GENERAL TERMS (APPLICABLE TO ALL COURSES)
2. Enrolment & Eligibility
2.1 All learners must provide accurate and complete information at the point of enrolment.
2.2 The minimum age for enrolment is 19 years, unless otherwise specified.
2.3 For regulated qualifications awarded by VTCT, Focus Awards, or ProQual, valid photographic identification (passport, driving licence, or government-issued ID) is mandatory.
2.4 Learners must disclose any disabilities, learning difficulties, or additional support needs at enrolment to allow reasonable adjustments to be considered in line with awarding body requirements.
3. Payments, Fees & Funding
3.1 Full payment or an agreed payment plan must be in place prior to course commencement.
3.2 Where payment plans are offered, all instalments must be paid on time. Failure to do so may result in suspension or removal from the course.
3.3 All course fees are non-transferable.
3.4 Fees include tuition, internal assessment, and certification where stated.
3.5 Registration fees, examination fees, and certification costs charged by awarding bodies such as VTCT, Focus Awards, and ProQual may be charged separately and are strictly non-refundable once processed.
4. Cancellations, Refunds & Transfers
4.1 Due to limited course availability, all deposits are strictly non-refundable.
4.2 For non-funded courses, a refund may be granted if cancellation is requested within 14 days of enrolment, provided no training has commenced and no course materials (including online access) have been issued.
4.3 Once any element of the course has begun (including online theory or practical training), refunds will not be issued.
4.4 Course transfers may be permitted at Kneads’ discretion, subject to a minimum of 14 days’ notice and an administration fee.
4.5 If Kneads cancels or reschedules a course, learners will be offered an alternative date or a full refund.
5. Attendance & Punctuality
5.1 Learners must attend all scheduled sessions, assessments, and examinations.
5.2 Late arrival exceeding 15 minutes may result in refusal of entry to the session.
5.3 Missed sessions may incur additional rebooking fees.
5.4 Failure to meet required attendance, assessments, case studies, or guided learning hours may result in delayed certification.
6. Professional Conduct
6.1 Learners are expected to maintain a professional standard of behaviour at all times.
6.2 Any form of misconduct, including harassment, discrimination, or disruptive behaviour, will result in immediate removal without refund.
6.3 Mobile devices must be silenced during training unless authorised by the trainer.
7. Health, Safety & Hygiene
7.1 All learners must comply with health and safety regulations and instructions provided by trainers.
7.2 Appropriate professional attire and personal protective equipment (PPE) must be worn where required.
7.3 Any medical conditions that may affect participation must be disclosed prior to course commencement.
8. Models & Practical Training
8.1 Learners may be required to provide models for assessments unless otherwise stated.
8.2 Kneads accepts no responsibility for non-attendance of models.
8.3 All models must meet treatment suitability criteria, including patch testing where applicable.
9. Certification
9.1 Certificates will only be issued once all of the following have been satisfied:
• Full payment of all fees
• Successful completion of all required assessments and coursework
• Fulfilment of attendance requirements
9.2 Certificates for regulated qualifications are issued by the relevant awarding organisation, including VTCT, Focus Awards, or ProQual, and processing times may vary.
9.3 Replacement certificates may incur an additional charge.

SECTION B: REGULATED QUALIFICATIONS (VTCT, FOCUS AWARDS, PROQUAL)
10. Registration Requirements
10.1 Learners undertaking regulated qualifications must be registered with the relevant awarding body within the required timeframe.
10.2 Awarding bodies such as VTCT, Focus Awards, and ProQual require:
• Valid photographic identification
• Proof of address
• Acceptance of their individual policies and procedures
10.3 Registration fees are non-refundable once submitted to the awarding organisation.
11. Assessments & Verification
11.1 Learners must complete all required practical assessments, theory exams, assignments, and portfolio evidence in line with awarding body standards.
11.2 Internal quality assurance (IQA) and external quality assurance (EQA) processes may extend certification timelines.
11.3 Additional assessment sessions beyond those included may incur further charges.
12. Portfolio Submission
12.1 All coursework and evidence must be submitted within specified deadlines.
12.2 Failure to meet deadlines may result in extension fees or delayed qualification achievement.

SECTION C: NON-FUNDED SHORT COURSES
13. Course Access
13.1 Access to online learning materials is granted upon issuance of login details.
13.2 Accessing online materials constitutes course commencement and voids eligibility for cancellation under the 14-day cooling-off period.
14. Completion Timeframes
14.1 All short courses must be completed within the designated timeframe.
14.2 Extensions may be granted at the discretion of Kneads and may be subject to additional fees.

SECTION D: LIABILITY, DATA & POLICIES
15. Liability
15.1 Kneads accepts no liability for personal injury, loss, or damage sustained during training, except where required by law.
15.2 Learners are responsible for their own belongings, equipment, and models.
16. Data Protection
16.1 All personal data is processed in accordance with UK GDPR and Kneads’ Privacy Policy.
16.2 Learner information may be shared with awarding organisations such as VTCT, Focus Awards, and ProQual where required for qualification processing.
17. Intellectual Property
17.1 All course materials remain the intellectual property of Kneads Training Academy.
17.2 Materials must not be copied, reproduced, or distributed without prior written consent.
18. Complaints Procedure
18.1 Complaints must be submitted in writing within 14 days of the issue arising.
18.2 Kneads will acknowledge receipt within 5 working days and aim to respond within 28 days.
18.3 For regulated qualifications, learners may escalate complaints to the relevant awarding body (e.g. VTCT, Focus Awards, or ProQual) after exhausting the internal process.
